The challenge - Beyond the shared mailbox: overcoming manual invoicing across locations
Until recently, invoicing for salons managed or administratively monitored by Kreatos was handled through a shared mailbox. Salons and suppliers sent their invoices via email, after which they were manually sorted by file and manually processed. This made the process time-consuming and increased the risk of errors or missing documents.
As the number of salons grew, it became increasingly difficult to keep oversight. Kreatos wanted not only to improve efficiency, but also to prepare for the mandatory e-invoicing obligation in 2026.
The solution - A single digital workflow across every salon
Kreatos came into contact with Banqup, formerly Billtobox through an indirect connection. The platform was already in use at a previously acquired salon, and its clear structure and user-friendliness immediately appealed. Kreatos decided to centralise all its own files in Banqup (Billtobox).
All salons involved were connected to the Peppol network, allowing suppliers to submit their invoices directly in electronic format. These are automatically delivered to Billtobox, where they are centrally bundled, smoothly approved, and processed. Thanks to the integration with the internal accounting system, the entire process is now much faster and more accurate.
